  • Make sure to date and initial any notes left for another co-worker

CLOSING

Children's Section

  • Make sure the check-in bin is empty
  • Pick-up stray books (be sure to check the train)
  • Let patrons know we're closing
  • Check bathrooms: Clean paper off floor > Plunge the toilets if needed (the plunger is located in the closet next to men's restroom, and the key to open this closet is in the desk near the money) > Prop doors open > Turn lights off
  • Turn off all computer monitors (the hard drive shuts down automatically on the computers against the wall)
  • Turn off self-check out: Scan card (located in the desk near the money) > Open the cabinet (the key to unlock the cabinet will be on a keychain with the card) and turn off the power switch
  • Lock the main doors: Turn the key left (the push lever will be out)
  • Lock the side door
  • Turn off light in the shelving room
  • Check for patrons before going downstairs

COMPUTERS

Guest Passes

  • Ask if they are a Cherokee County resident
  • If they are not a Cherokee County resident, ask if they would like to sign up for a library card with us
  • If not, used their license to look them up in the system
  • If they have no account, they can have a guest pass
  • If their account has fines above $5, they will need

DAILY TRANSACTIONS

General Information

  • The daily sales card is located in the top of the computer screen
  • We only take cash or check for any sales
  • Printing is paid with cash via the vending device in the adult or children's section

Book Sales

  • Fees: Adult Section
    • Paperbacks: $0.50
    • Hardcovers: $1
  • Fees: Children's Section
    • Everything is $0.25 unless otherwise noted
  • To charge patron: Scan the daily sales card > Create a new charge > Book sale > Enter amount > Pay/Waive > Enter amount tendered > Print receipt if needed > Give change if needed

Copies

  • Fees
    • Black and white: $0.15 per page
    • Color: $1 per page
  • If you need assistance with adding black and white copies, look for the black and white copies charge sheet (located in the circulation desk area)
  • To charge patron: Scan the daily sales card > Create a new charge > Black and white copies: Copies / Color copies: Copies, Color > Enter amount > Pay/Waive > Enter amount tendered > Print receipt if needed > Give change if needed
  • Fyi: If you aren't making a lot of copies, or copying front/back, it's easier to use the scanner and enter how many pages you need (the feed tends to jam)

Faxing

  • Fees
    • Local: $1 per page
    • International: $2 per page
  • Pay with cash or check; make sure the fax goes through before you take the patron's money
  • To charge patron: Scan the daily sales card > Create a new charge > Fax > Enter amount > Pay/Waive > Enter amount tendered > Print receipt if needed > Give change if needed
  • Paper goes into the top tray face-up
  • Make sure the fax machine is set to fax (the button with the phone picture on it)
  • Enter the number (1-555-555-5555)
  • Wait for the receipt to print for the patron

Laminate

  • Fee: $0.50 per foot
  • To charge patron: Scan the daily sales card > Create a new charge > Laminating > Enter amount > Pay/Waive > Enter amount tendered > Print receipt if needed > Give change if needed

Printing

  • Fees
    • Black and white: $0.15 per page
    • Color: $1 per page
  • Pay with cash via vending device
  • We can make change if needed

Scanning

  • Fee: $0.25 per page
  • To charge patron: Scan the daily sales card > Create a new charge > Scanning > Enter amount > Pay/Waive > Enter amount tendered > Print receipt if needed > Give change if needed
  • Use copier
  • Feed document on top
  • Change from copy to scan
  • Go to "Scans" on computer
  • Check document versus patron's
  • E-mail via Outlook (attach like you would a regular document)
  • ...Or save to flash drive

DONATIONS

  • We do not accept textbooks or magazines older than five years
  • Make sure books are in good condition (ask a senior employee if you are unsure)
  • Ask if they want a donation form donation (form located in the "Donated Materials Forms" binder on the holds shelf)
  • If the form is needed...
    • Write the patron's name and date
    • Initial the form
    • Count what and how many items the patron is donating

FINES

  • Fine disputes or waiving: Refer them to Flori, Jody, or Jill

HOLDS

Canceling holds

  • Look up the patron's account using the library card number on the hold slip
  • Click on "requests"
  • Highlight the book(s) and click on "cancel selected request"
  • Check the book in and send the item to the appropriate location

Please retrieve item from shelf and check-in

  • Usually will find the book on the holds shelf
  • Cancel hold (See: Canceling holds)
  • Check-in the book
  • Print slip for branch or new patron

LIBRARY CARDS

New Cards: Handwritten by Staff

  • Adult Cards
    • The patron must provide valid identification with their name on it (for example, a wife cannot sign up for a card with a license that has her husband's name on it) and something with a current address. This is typically in the form of a driver's license.
    • They must also be a resident of Cherokee County; out of county residents pay an annual fee of $35 to have a library card in Cherokee County.
    • If their driver's license does not have a current address, they will need to provide something with their current address, like a bill, insurance, etc. We accept electronic bills only if the patron has nothing else.
  • If a patron is signing up for a library card with a P.O. box address, they must also have a copy of their physical address, even if it is out of county. The P.O. box must be in Cherokee County.
  • Juvenile Cards
    • A juvenile cannot sign up for a library card without their parent or guardian

How to Fill Out a New Application

  • Please refer to the directions in "New Card: Handwritten by Staff" for further information on new applications
  • Take the patron's identification
  • When adding a new patron account to Circ, first check to make sure they are not in the system by typing in their "LAST NAME, FIRST NAME" as it appears on their license. If the patron does not have an account in the system, click ADD NEW, and fill in their last and first names.

New Cards: Handwritten by Patron

  • Note that these do not require a new application; these are applications a patron brings in
  • Patrons must provide valid identification
  • Fill in the information at the bottom of the form, along with the patron's driver's license number and a pin number for their account if they would like to set one up
  • Ask if they are registered to vote and fill in this information on the appropriate form

New Cards: Online Applications

  • Note that these do not require a new application; these are applications a patron brings in
  • Patron must provide valid identification
  • Forms for the patron are located in the tray by the fax machine
  • Look up the patron on Circ and verify their information
  • Ask what notifications they prefer
  • Ask them to print and sign their names on the form
  • Change the borrower type from OBR (Online Borrower) to Adult or Juvenile and extend the expiration date on their account for two years

Renewing Library Cards

  • Cards expire every two years
  • When updating cards, check:
    • Date of birth
    • Georgia driver's license #
      • FOR WPL ONLY: For the time being, only a GA license # is required, not an out-of-state #.
      • Not required for juvenile patrons
    • Pin #
      • This is a four digit encrypted number; if a patron needs to reset their pin for whatever reason, they will need to use a different number
    • Address
      • If their ID does not have the correct address, we need to see something that can verify that address (checkbook, bill, paystub, etc.). If they have something on their phone/e-mail, that will work as well.
    • Notification preferences
      • "Arrived Request Notices" and "Friendly Notices" are all optional for telephone, e-mail, or text notifications, but patrons must only choose one option for both. For instance, ARNs cannot be set to e-mail, while FNs are set to telephone. If you have the opportunity, let the patron know that e-mail notifications are a great way to be notified because it shares the most information.
      • "Overdue Notices" must ALWAYS stay set to telephone
      • "Final Overdue Notices" and "Canceled Request Notices" must ALWAYS stay set to paper
    • Voting
      • This is located under "Borrower Fields"
      • Voter declined to register: DECL Month/Day/Year (Example: 04/30/16)
      • Voter already registered: VOTER Month/Day/Year (Example: 04/30/16)
      • Voter registered: REG Month/Day/Year (Example: 04/30/16)
    • Responsible party: Only used to connect juvenile patrons with adult patrons

Replacement/Lost Cards

  • Fee: $1
  • To replace a card, look up the patron's account > Remove their old card number > Scan a new card > Save
  • To charge patron: Scan the daily sales card > Create a new charge > Lost card > Enter amount > Pay/Waive > Enter amount > Print receipt if needed > Give change if needed

LOST BOOKS

  • They have SIX MONTHS FROM THE DAY THEY WERE DUE to search for the books and return them for a refund ???
  • When books are returned before the six month period is up:
    • Click YES to accept fines/deal with charges
    • Do not tick the charges > Click OK
    • Go to the patron's account
    • Click TOTAL OWED AMOUNT
    • Tick ONLY LOST BOOKS, not overdue fees (fines must stay on the patron's account because they are still responsible for paying them). If there are multiple lost books on the patron's account, only tick the book they returned.
    • Click PAY/WAIVE
    • Erase the amount in PAY WITH ($) > Enter this amount under TO BE WAIVED ($)
    • Click OK WITH PRINT
    • Write on receipt "Book returned on CURRENT DATE"
    • The receipt goes to Flori

NEWSPAPERS

  • Located in drop box, or outside
  • Should receive AJC, Cherokee Tribune, and
  • Pulls ads, comics, and living section (leave the living section on the desk by the shelving area for patrons who request to read them)
  • Stamp with Woodstock address (stamp is located in top drawer of filing cabinet behind Flori's desk)
  • Check off the papers we receive (the pink box these slips are located in is on the holds shelf)

PATRON ACCOUNTS

Account Look-Up Without Card

  • If the patron has their card number with them (via picture, or remembers it off the top of their head), they are allowed to check out their books
  • To protect a patron's security, we do not allow anyone to check out books without a library card
    • If the patron is sure they have left their card at home, we can offer to hold the books for three days
    • The patron can also get a new card for $1 if they know they lost it (See: Replacement/Lost Cards)

REPAIRS

Adult Section

  • Place book in bin labeled "damaged" (usually located on Flori's desk)

Children's Section

  • Check-out item to the Woodstock In-House card
  • DVDs that require a new box...
  • Books that require re-lamination: Take off old laminate > Put a note in the book labeling it for relamination > Book goes downstairs
  • Books the library trashes: Goes downstairs

STUDY ROOMS

  • The library takes no reservations over phone -- study rooms are first-come, first-serve.
  • Patrons can only keep the room two hours at a time
  • Patrons must come out from their room about 10 minutes prior to re-sign up if they need the room any longer
  • In this instance, make sure the room is still available for their use (another patron has not reserved it in-person) > If so, the patron can only sign up for an additional hour each time they sign up for the study room again

VOTER REGISTRATION

  • Registering to vote is a service we offer account-holding patrons at the library
  • We do not accept voter registration forms if they do not have a library account with us
  • If they do not have an account, they make take a voter registration form to mail in themselves
  • It usually takes anywhere from 4-6 weeks for them to receive their card
  • We can look up if they are registered to vote here
